Why signature uploads fail so often
Signature rejection is more common than photo rejection, and more frustrating, because the fault is usually in how the signature was captured rather than in the file itself. A phone photo of a page taken at an angle, on a ruled notebook, under a ceiling light, produces a grey image with lines through it that no amount of resizing can fix.
The narrow file size window makes it worse. A range of 10 to 20 KB leaves almost no margin, and a scan carrying paper texture and shadow fills that budget with noise instead of pen strokes.
How to capture a signature properly
- 1. Use plain white paper. Unlined, clean, no folds. Ruled pages add lines that read as detail.
- 2. Sign large with a black pen. A bigger signature scans better and then shrinks cleanly. A small one enlarged looks rough.
- 3. Photograph in even daylight. Hold the phone flat above the page, not at an angle, and make sure no shadow falls across the signature.
- 4. Crop close. Cut away the surrounding paper so the signature fills the frame before you resize.
- 5. Check the result. Open the downloaded file at full size and confirm every stroke is unbroken.

Why is my signature rejected even though the size is correct?
File size is only one of the checks. Portals also reject signatures written in capital letters, signatures that occupy too little of the frame, and scans that are blurred or sit on a coloured background.
Can I sign in capital letters?
No. Exam bodies expect a running hand signature, the same one you will use on the attendance sheet and admit card. A signature in block capitals is treated as invalid and can cost you the application.
How much of the frame should the signature fill?
Aim for the signature to occupy most of the width. Guidance from exam bodies commonly asks for around eighty percent of the box. A small signature floating in white space is described as miniature and rejected.
What if my file comes out below 10 KB?
Under-sized files are rejected just as over-sized ones are. Scan at a higher resolution or crop less aggressively so there is more detail to store, then bring it back into the range.
Should I scan in colour or black and white?
Greyscale usually gives the cleanest result. Colour scans pick up paper tint and shadow that waste file size, while pure black and white can break up thin pen strokes.
